Thank you for considering attending the Swanage Regatta & Carnival 2019

There are some minor changes to this year’s Terms and Conditions so please take the time to read them.
 The main changes relate to driving vehicles on and off the Showground and have been made to ensure we comply with local authority regulations and create a safe, presentable environment for all using the Showground.

Also, the Safety Documentation information. (See 4 and 17 below)

Access to and from the field is not permitted for stallholders between the hours of 10am – 6pm and 6.30pm – 11.30pm.
Therefore, if you need to move your vehicle during these times you must park offsite.

Please be aware that the number of catering stall spaces we provide is limited and we prioritise providers from the Purbeck area unless there has been repeat bookings within the last 2 years. There will also be a restriction on the number of fairground type stalls and rides to comply with Council stipulations.

If you would like to apply for a pitch during carnival week please complete and submit the form as early as possible, including copies of your insurance policy, risk assessments and health and hygiene certificate where appropriate. We will review applications received from 1st February 2019. Applications will be considered on an individual basis. Our aim is to book a variety of different stalls and priority will be given to stalls booking for all 8 days and to local stallholders.

We will aim to respond to all early enquiries by the end of February. If your application is accepted, you will be invoiced requesting a 50% deposit to secure your booking. If payment is not received within 28 days we reserve the right to allocate your pitch to someone else.

We also ask all new traders, or those with a new appearance for 2018, to provide a picture of their stand for consideration by the committee and for inclusion on our website for advertising purposes.

Trade Stand Booking Conditions

  1. Vehicles that are staying on the Showground with the stall for the duration of the booking are limited to one per stall subject to arrangement in advance.
    Any vehicle and equipment must fit within your pitch space. Only a limited number of pitch spaces can accommodate a vehicle and these are offered on a first come first served basis. Vehicles turning up without prior agreement or with dimensions that exceed your allocated pitch space must arrange and pay for their own off-site parking, other than whilst setting up and dismantling the stall.
  2. Camping is not permitted on Sandpit Showground by request of Swanage Town Council. If you must stay with your stall for security reasons approval must be
    sought in advance and is subject to agreement. Any request to stay on sight must include details of any tents or caravans to be used.
  3. All vehicles must be marshalled on and off the Showground.
  4. Vehicles parked on the Showground with a stall can only move between the hours of 11.30pm and 10am and a small window between 6pm and 6.30pm when marshals will be available.
  5. All stalls must be in place before 9.30am on any day.
  6. Bookings on the first weekend must be for both the Saturday and Sunday to reduce movement on the Showground.
  7. The position of the trade stands will be at the discretion of the Showground Committee.
  8. Should a trader withdraw from the event, or cancel the reserved space for any reason, we reserve the right to re-let such space.
  9. We reserve the right to refuse any application without giving a reason.
  10. No trader has the right to sublet or permit anyone using any part of the stand space without permission from the Showground Committee.
  11. The fee paid is only for the pitch space and selected extras as detailed on the booking form only.
  12. Frontage must include an allowance for outside tent guy ropes (if used) and for the drawbars of display caravans. When booking for display caravans, please allow sufficient space to manoeuvre into position without interfering with adjacent sites.
  13. Any generators used must be silent and fully enclosed. Generators must fit within the pitch site, and must not cause excessive noise, smell or smoke. We
    reserve the right to refuse the use of any generator that does not meet these requirements.
